Job Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a leading board-certified Plastic Surgeon in a dynamic and fast-paced practice. This position plays a key role in ensuring the efficiency of daily operations, coordinating both administrative and clinical tasks, and providing exceptional patient and team members support.

In this role, the successful candidate will work closely with our clinical team (MD/PA/NP) and administrative team (surgical scheduler, biller, and office manager) to provide comprehensive support services for the practice operations. Job Responsibility
* Assists the project initiation process by creating project timetables and tracking execution and workflow.
* Aids the preparation of project status reports.
* Assists internal and external groups to optimize success of project deployment.
* Participates in communication with user departments and project teams on project activities.
* Assists the management to develop tools and metrics to evaluate performance of target initiatives.
* Helps in driving risk management process improvements, efficiencies and workflow enhancements.
* Assists in the development and maintains department policies and procedures.
* Operates with direct guidance and work assignments are generally straightforward and of moderate complexity.

Role and Responsibilities:
Clinical Coordination
* Answer patient nonclinical questions to ensure understanding and patient satisfaction, or refers clinical questions to PA/NP.
* Schedule new appointments. Verify patient insurance eligibility and book new consults with the knowledge of what surgeries are performed by the practice. Ensure new patient paperwork is distributed and completed prior to patient consultation.
* Schedule all follow-up and postop appointments
* Help to coordinate imaging appointments.
* Coordinate forms and paperwork. Oversee completion and receipt of consult forms, disability forms, and clearance forms.
* Oversee entire self pay process for cosmetic consultation and surgical fees. All fees must be collected prior to consultation and/or surgery.
* Book all in-office procedures keeping in mind efficiency and office workflow.
* Administrative Scheduling
* Coordinate and schedule meetings and events as they relate to administrative duties.
Job Qualification
* Bachelor's Degree required, or equivalent combination of education and related experience.
* 0-1 years of relevant experience required.
* Strong computer and organizational skills, proficiency in Microsoft Office Suite, internet applications, and medical scheduling systems preferred.
