Role Description:

Reporting to Grants Management Office, the primary responsibility of this position is to support the management of a portfolio of grants, which includes grant administration, financial reporting, grant compliance, and grant close-out.

Tasks

1. Financial Reporting

  • Preparing financial reports as per the reporting schedule.
  • Tracking reports due for each grant.

2. Resource Allocation & Timesheets Management

  • Assisting with monthly salary allocations for FTEs (full-time employees)
  • Issuing & documenting timesheets to FTEs monthly
  • Reallocation of costs in MS Dynamics Business Central as per the scheme of delegation

3. Receivables Management

  • Tracking & following up payments due for each grant.
  • Income reconciliations in MS Dynamics Business Central

4. Grant Administration

  • Updating grant timelines, deliverables, reporting schedules, donor communications, submitted reports, and other grant requirements on Grants Management Systems

5. Internal Controls

  • Ensuring internal controls are complied with and suggest improvements.
  • Ensuring all grant documentation is available on SharePoint.

6. Close-outs

  • Preparing final financial reports, reconciliations of payables and receivables, and completing the close out checklist

7. Contributing to documentation of best practices and lessons learned within the Grants Management Office

8. Any other duties as allocated by the supervisor.

Required Education & Experience:

  1. 3+ years of experience in financial reporting (IFRS, IPSAS)
  2. 3+ years of experience in grant financial management, project/grant control.
  3. Fluent in English.
  4. Undergraduate degree in International Relations, Finance, Project Management or relevant degree
  5. Experience working in LMICs (Low- and Middle-Income Countries).
  6. 3+ years of experience with MS Dynamics, Good Grants, Agresso, or any online finance & grants management system
  7. 3+ years of experience in internal /external audits.
  8. 3+ years of experience managing grants from foundations & institutional donors.


Preferred Qualifications:

1. Experience working in a non-profit environment.


Nature of Appointment:

The selected candidate will initially be offered a fixed-term employment contract for a duration of two years.
