The Associate Director of Operations is responsible for the strategic and day-to-day management of the organization’s IT and Facilities functions. This role ensures the efficient and secure operation of technology systems, physical spaces, and vendor relationships, while also serving as the project manager for organization-wide operational initiatives. Reporting to the CFO, the Associate Director of Operations collaborates with cross-functional teams to deliver high-impact infrastructure and process improvements that support organizational goals.
Key Responsibilities
Leadership & Management
Supervise and support the IT and Facilities teams, fostering a culture of service excellence, accountability, and continuous improvement.
Provide mentorship, performance feedback, and professional development opportunities to direct reports.
Develop and oversee departmental budgets in collaboration with the CFO.
Creating/maintaining SOPs
Asset management system oversight
Facilities Operations
Oversee the maintenance, safety, security, and functionality of all facilities.
Ensure compliance with all health, safety, environmental, and building regulations.
Manage vendor contracts and relationships for facility-related services (e.g., janitorial, HVAC, security, maintenance).
Information Technology
Direct the strategic planning and implementation of IT systems and policies.
Oversee IT infrastructure, data security, software procurement, user support, and technology planning.
Ensure business continuity and disaster recovery plans are in place and tested.
Coordinates tasks between onsite IT team and remote IT vendors
Trouble ticket oversight
Project Management
Serve as project manager for operations-related initiatives across the organization (e.g., space redesign, system upgrades, compliance implementations).
Define project scopes, timelines, budgets, and deliverables; track progress and communicate updates to stakeholders.
Coordinate cross-departmental collaboration to ensure successful project execution.
Strategic Planning & Process Improvement
Identify opportunities for operational efficiencies and implement improvements across IT and Facilities.
Participate in long-term strategic planning in collaboration with the CFO and leadership team.

Qualifications
Education & Experience
Bachelor’s degree in Business Administration, Operations, Information Systems, or related field preferred.
Minimum 3-5 years of progressive experience in operations, facilities, and/or IT management, including supervisory experience.
