Position Summary
Fulfills administrative duties for the Chief of Staff which may include screening calls, managing calendars, coordinating travel and meetings, logistical oversight for the Chief of Staff’s events, and preparing reports and financial data. Sensitivity to confidential matters required.
This is a part-time, on-site position working 25 hours per week to be performed at our Plano, Texas location. Applications are accepted on an ongoing basis.
Essential Duties/Responsibilities
- Coordinates, maintains, and oversees the COS travel schedule, meetings, visits, appointments, and master calendar
- Coordinates and plans Chief of Staff internal and external meetings, including Board meetings; posting minutes, creating agendas, and other logistical preparation
- Independently and proactively foresee tasks, responsibilities, and calendar items and bring to the attention of the COS
- Oversee and manage special projects
- Coordinate communications with departments and staff
- Organize documents, details, policies and systems to align with both organizational and legal requirements, safeguarding access and fulfilling confidentiality expectations
- Support other President’s Office personnel and projects assigned
- Answers, troubleshoots, and responds to phone calls, emails, and meeting requests
- Composes letters and memos as directed or necessary
- Review documents produced by ACSI Office of Communication and Engagement and other departments (put further down the list)
- Drafts reports
- Maintains up-to-date record keeping systems
- All other duties as assigned
Compensation And Benefits
$23 - $25 per hour based on work experience, education, training, knowledge, skills, and internal and external equity.
Part-time employees working less than 20-29 hours per week may participate in our 403b retirement plan. In addition, ACSI provides vacation, sick leave, paid holidays, employee assistance plan, and discretionary annual bonus.

Required Experience And Education
- Five or more years of administrative experience in an office, school, or professional environment
- Bachelor’s degree in business or related field preferred
- Strong communication skills, especially written, with good command of grammar and editing
- Strong proficiency in MS Office (Word, Excel, PowerPoint), financial reporting software, database/spreadsheet software
- Strong technology and internet research skills
- Excellent interpersonal skills and the ability to work well with all levels of ACSI internal management and staff, outside clients, and vendors
- Strong organizational skills, including filing, maintaining financial records, and project management
- Detail oriented with the ability to handle multiple tasks simultaneously
- Disciplined time management skills, flexibility
- Project coordination experience
- Integrity in dealing with confidential information
Physical Demands and Work Environment
- Ability to walk, sit, stand, use hands and fingers, talk and hear

- The employee frequently is required to reach with hands and arms
- Specific vision abilities required by this job include the ability to read at close range and distinguish colors and contrasts
- Tolerate minimal noise levels in the work environment
- Ability to lift and move boxes, files and deliveries up to 30 pounds
