In this role, the Assistant Property Manager (APM) will collaborate with Yorkdale’s core retail management team on key site initiatives and projects while providing outstanding service to all property stakeholders.
Alongside the Senior Property Manager (SPM), the APM will support, oversee, and be accountable for site and tenant related matters. In the absence of the SPM, the APM acts as back-up for that role. The APM has 1-2x direct reports.
As APM, You Will Be Responsible For
Tenant/Customer Relations
- Establishing ongoing tenant relationships to understand tenant needs/concerns and to contribute to resolutions
- Working alongside the SPM on tenant management duties such as tenant event management/ tenant welcome packages/store product launches
- Managing tenant onboarding/offboarding processes
- Overseeing the operational success of all aspects of ‘OxComm’, Oxford’s tenant-landlord communication platform
- Acting as a liaison between tenants and site teams
- Ensuring tenants are compliant with all centre polices and following up as necessary
- Resolving escalated customer concerns
Lease Administration
- Preparing and delivering notices to tenants with respect to lease administration
- Having through lease knowledge and ability to interpret lease clauses to ensure tenant adherence to requirements
Reporting
- Alongside SPM, ensuring all reports are prepared accurately and in a timely manner
- Completing monthly tenant sales and customer traffic analysis for various reports and meetings
- Coordinating the completion of Monthly Management Report (MMR) with applicable departments
- In conjunction with SPM, overseeing the 560 and 605 GL accounts, including completing accruals, reforecasting, budgeting etc.
- Working with the SPM and Director, preparing quarterly meeting documents for co-owner meetings, core strategy meetings and value creation plan including participating in respective presentations
- Contributing to the annual budget preparation and quarterly reforecasting/reporting/ presenting
- Participating in bi-weekly leasing/RDC update meetings/presentations
Leadership
- Managing 1-2x Office Administrators who support management office reception and office duties
- Includes ensuring reception coverage is constant, and all policies and procedures are followed to ensure consistency and efficiency
- Supporting direct reports with escalated items related to their role
Project Management
- Working alongside SPM to develop and implement projects, reports and presentations
- Leading the planning and execution of Yorkdale’s Cause Framework activities
- Maintaining vacant suites to Oxford standard and assisting the leasing team as required
- Providing assistance to Senior Operations Manager and Retail Design and Construction teams during leasehold improvement and Landlord’s work processes
Experience & Skills
- Minimum 3-5 years experience in commercial/shopping centre property management
- University Degree or College Diploma; focus in business or real estate considered an asset
- Industry designation (or enrolled) ideal (IE: RPA, CPM)
- Strong interpersonal skills required to build relationships with tenants and management team
- Have excellent time management skills with the ability to work under pressure and tight timelines
- Effective written and oral communication
- Demonstrates analytical decision making and critical thinking
- Adept problem-solving and customer service skills
- Effective working financial knowledge
- Proficient with Microsoft Office Suite tools
- Capable of taking on progressive responsibilities related to property management
