The Procurement Assistant Manager is responsible for supporting and assisting in the efficient and effective procurement of goods, services, and materials for the organization. This role involves overseeing the purchasing process, managing supplier relationships, ensuring compliance with procurement policies, and contributing to the development and execution of sourcing strategies to meet the organization's needs. The Procurement Assistant Manager will work closely with internal stakeholders to understand their requirements and manage the procurement cycle from requisition to delivery.


Role & Responsibilities

1. Opex Procurement Strategy:

  • Develop and execute procurement strategies for operational expenses across various departments, ensuring cost-effectiveness while maintaining operational efficiency.
  • Collaborate with senior management to align procurement strategies with organizational goals and budgetary requirements.
  • Conduct detailed spend analysis and identify cost-saving opportunities while maintaining quality and performance standards.

2. Supplier Sourcing & Relationship Management:

  • Manage and nurture relationships with suppliers, ensuring timely delivery, quality, and cost control.
  • Oversee supplier selection, negotiation, and contracting to meet operational needs.
  • Conduct regular performance reviews with suppliers and address issues related to quality, lead times, and service levels.

3. Procurement Process Management:

  • Lead the full procurement lifecycle for Opex-related purchases, including vendor identification, RFQs, negotiations, contracting, and purchase order management.
  • Ensure compliance with company procurement policies and industry regulations (e.g., SOX compliance).
  • Optimize procurement processes by streamlining workflows, using technology, and introducing best practices.

4. Budgeting and Cost Control:

  • Work closely with the finance team to ensure that procurement costs align with budgetary constraints and operational targets.
  • Monitor procurement spend and take proactive steps to control costs and improve forecasting accuracy.
  • Generate and maintain detailed reports on procurement spend, supplier performance, and contract compliance for management review.

5. Cross-Functional Collaboration:

  • Collaborate with various departments (e.g., Finance, Operations, Legal) to gather requirements, define procurement specifications, and ensure alignment across the business.
  • Work closely with Operations and other departments to ensure timely and effective delivery of Opex goods/services.
  • Provide procurement expertise to support decision-making, especially when scaling operations or managing new projects.

6. Risk Management & Compliance:

  • Identify and mitigate risks related to procurement, including supplier performance, price volatility, and supply chain disruptions.
  • Ensure all procurement activities adhere to company policies, legal requirements, and sustainability goals.
  • Stay updated on changes in relevant laws, regulations, and market conditions to ensure compliance.

7. Reporting & Analytics:

  • Provide accurate and timely reports to senior leadership on procurement activity, cost savings, and supplier performance.
  • Utilize data to identify procurement trends, supplier performance metrics, and other key performance indicators (KPIs).

8. Continuous Improvement:

  • Foster a culture of continuous improvement in procurement practices, including developing and sharing innovative solutions to optimize procurement activities.
  • Stay current on industry trends, new technologies, and market conditions that could impact procurement.

Skillset required

  • Bachelor's degree in Business, Supply Chain Management, Finance, or a related field (Master’s degree preferred).
  • 7-10 years of experience in operational expenditure (Opex) procurement, ideally in a fast-paced corporate environment.
  • Strong knowledge of procurement processes, contract management, and supplier negotiation.
  • Experience with procurement software and ERP systems (e.g., SAP, Oracle).
  • Advanced Excel skills, with a solid understanding of procurement analytics and spend reporting.
  • Ability to manage multiple stakeholders, meet deadlines, and maintain a high level of accuracy in all procurement activities.

Experience (Years) required

Minimum 8-10 years of relevant experience

Qualification

  • BA/BS/MBA in supply chain management, economics, finance, operations, engineering, business, accounting, or manufacturing-related field or equivalent experience preferred.
  • Professional certification in procurement, sourcing, supply chain is preferred.
