About the Role
As part of the Facilities team, our overarching goal is to provide a high level of customer service to the client and provide the best work environment value for the investment made. You will provide professional facilities management support to the Campus and general facilities services operations.
Main Responsibilities will include:
- Service delivery – Support the senior facilities manager with the operational management of internal and external service delivery teams, ensuring the quality of services provided is continually improved and exceeds customer expectations.
- Supply Chain Management - Support initiatives to ensure value for money is achieved through robust management of suppliers and measurement of performance service level agreements.
- Maintain a safe, clean, and comfortable working environment. Act as the onsite interface between general contractors and subcontractors for Special Projects as they relate to Building Operations.
- Compliance with legislation, Macro processes and life safety procedures.
- Responds to calls/emails to the Facilities Department regarding campus inquiries, repairs, and other departmental requests.
- Enter work request information into the Work Order system.
- Schedule, coordinate, and distribute work orders to Facilities Operations.
- Follow up with Facilities Operations and end-users to maintain tracking logs.
- Create system reports as requested.
- Distribute monthly Preventive Maintenance and Resiliency tickets to the Facilities Operations team and/or external vendors.
- Track status and enter engineering notes, including hours worked.
- Responsible for ticket completion entries on the Work Order System.
- Record data into specific electronic folders to support audits.
- Track status and enter compliance data on Excel spreadsheets and online databases.
- Initiate, maintain, and assist with maintenance of Departmental Project files as per the company’s records retention policies.
- Be accountable and responsible for ad-hoc projects and initiatives as and when they arise.
- Ability to work under demanding schedules on different systems and/or responsibilities in a professional and team-oriented manner.
- Manage time and resources to meet fluctuating workloads.
- Adopt effective people management techniques.
- Provide a customer-focused service and engender positive client and colleague relationships.
- Demonstrate attention to detail and ownership of the processes relating to areas of responsibility.
- Share site, client, and project knowledge with members of the FM team.
- Establish and maintain good working relationships with Macro and the Client staff.
About You
The ideal candidate will have:
- Experience in the Facilities Management industry or similar role.
- Relevant education background/experience.
- Ability to read, analyse, and interpret technical procedures, or governmental regulations.
- Proficiency in Microsoft Office and Outlook. Ability to work with spreadsheets, databases, and run reports.
- Ability to pass pre-employment screenings via ISTC and TWIK.
- High School level education.
- IFMA or other industry related facilities management certification a plus.
- Ability to manage resources to engender flexibility and cooperation.
- Excellent people management skills.
- Facilities management experience or working within outsourced FM operator in an industrial or mixed-use environment.
- High level PC skills, especially related to software, databases, MS Office, Windows, and hardware/software configurations.
- Demonstrated ability to work with related technology and facilities applications.
Desired
- Experience working within a facilities management team.
- Previous experience of working in an outsourced contract environment.
Salary is $70,000 to $75,000 annually.
