Job Summary
The Assistant Division Manager (ASST DM) is critical to the daily operations of the Division of Nephrology. With a strong knowledge of financial and operations management, the ASST DM supports the Division Manager in a variety of management activities, including preparation of annual division budget and oversight of faculty compensation. He/she acts as “second in command” to the Division Manager in all aspects of Division management, and acts in place of the Division Manager during his/her absence. He/she exercises strong quantitative analytical skills and applies management-level judgment to form recommendations or bases for decisions. He/she exhibits strong interpersonal and relationship management skills. The ASST DM also applies knowledge of Human Resources policy in overseeing staff and non-faculty academic personnel appointments. As the team lead of the Research Finance unit, she/he directly supervises a Finance Analyst IV, Administrative Officer III, and Administrative Assistant III, and oversees staff who all perform various post-award financial management functions for sponsored projects, fellowship programs, gifts and discretionary accounts. The ASST DM also serves as the Division’s main resource to establish, interpret and implement federal, state, and University policies and procedures across the Division.
The ASST DM will spend majority of time achieving organizational objectives through the coordinated achievements of subordinate staff, functioning as advisor and mentor to the research finance team and the overall Division in addressing issues related to post-award administration, fiscal management, human resources, and operations. The ASST DM serves as the subject matter expert in finance, sponsored project administration, and compliance and policy interpretation. ASST DM will personally manage and oversee the research portfolio of senior faculty, junior faculty, fellows, and faculty-owned and division-owned discretionary and gift accounts.
This unit is responsible for managing clinical finances equating to ~$8,000,000 in expenses. ~$30,000,000 in sponsored funding across ~50 contracts & grants (federal, industry & private grants, clinical trials, fellowship & training awards, and subcontracts), over 40 gift accounts totaling $1,500,000, and more than $8,000,000 in division- and faculty-owned discretionary accounts.
Responsible for supervising the administrative services of a large academic department within a school OR college OR non-academic department (program). Typically reports to a manager. Administrative services include all or some of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Supervises support and / or professional staff.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.
The salary range for this position is $100,100 - $164,000 (Annual Rate).

Department Description
The Nephrology Division spans multiple campuses with faculty and staff located at the UCSF Parnassus, Laurel Heights, San Francisco Veterans Affairs Medical Center (SFVAMC), and Zuckerberg San Francisco General (ZSFG). The Nephrology Division consists of over 100 faculty, fellows, and staff whose work is grounded in deep commitment to, and respect for patients with kidney disease. The Division has approximately 40 faculty members, 15 admin and research staff, 16 fellows, and an annual budget of $11.1 million. For over 50 years, the Nephrology Division has employed and trained leaders in academic nephrology, superb clinical research scientists and basic scientists, and outstanding clinical nephrologists. Our faculty are leading experts in adult nephrology: including acute kidney injury, chronic kidney disease, hypertension, electrolyte disorders, and kidney transplantation. Our mission continues in this tradition: expanding the frontiers of basic and clinical investigation in nephrology, training the next generation of academic nephrology leaders and providing the highest level of patient care. Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Advanced knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
- Advanced interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
- Advanced knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
- Advanced knowledge of common University-specific computer application programs.
- Demonstrated ability to use discretion and maintain confidentiality.
- Advanced skills in short- and long-term strategic planning, analysis, problem-solving and customer service.
- Advanced knowledge of financial analysis and reporting techniques, and human resources policies and procedures for staff and academic employees.
- Advanced knowledge of research administration policies and procedures.
- Prior experience in a management or leadership role directly involved in managing staff.
Preferred Qualifications
- Master’s degree in related area and / or equivalent experience / training.
- Advanced knowledge of Excel.
- Prior experience working with MyReports, PeopleSoft Journals, MyExpense, BearBuy and other UC software systems.
- Prior experience in an academic environment.
