Position Summary
The Assistant Dean for Student Affairs provides leadership support to the University of Incarnate Word’s Rosenberg School of Optometry’s ( UIWRSO ) Student Affairs Office. This position is responsible for the overall administration of student affairs including recruitment, admissions, enrollment management, financial assistance advising, student services, student organizations, special events, and optometry alumni services. The Assistant Dean for Student Affairs reports to the Dean, School of Optometry.

Description Of Job Duty
- Develops and oversees national recruitment plan to enhance recruitment strategies and attract a qualified and diverse class; this includes executing a comprehensive communications plan, providing presentations, issuing marketing publications, managing website development/maintenance, etc.
- Oversees the student admissions process including management of the applicant management portals, communications, coordination of applicants, accepted and deposited students, initial review process, interview programs, and final candidate selections.
- Oversees the enrollment management for professional students including block registration, enrollment management reports, graduation audits, and maintenance of student records.
- Tracks, advises, and coordinates processes for financial aid, internal scholarships, debt counseling, and student employment.
- Manages student support and engagement initiatives to include counseling, career placement, training, policy development, and advising for student organizations.
- Conducts maintenance and training for OrgSync RSO umbrella.
- Tracks and maintains Student Health services/records to include ensuring compliance with immunization policy.
- Oversees major student events (i.e., orientation, commencement, awards banquet, etc.).
- Manages the optometry alumni network.
- Serves as an advisor to the Dean for student interests, issues, and concerns including ensuring compliance with the student grievance process.
- Serves as an advisor to students on matters of school policy including academic standards and professional conduct.
- Develops student policies and maintains the Student Handbook.
- Manages the Student Affairs budget.
- Serves on the Executive Council and Leadership Council.
- Serves as an ad-hoc member of the academic standards committee, professional conduct committee, and faculty scholarship and awards committee as well as other committees as assigned.
- Serves as an ambassador for the UIWRSO with students, alumni, parents, community leaders, and professional organizations.
- Manages student records and accreditation reporting as specified by ACOE and SACS .
- Performs other duties as assigned.
Qualifications
Knowledge Skills and Abilities
- Strong knowledge of general student affairs policies and procedures.
- Strong knowledge of general recruitment and admissions processes and procedures.
- Proficiency in effectively managing multiple priorities in a deadline driven environment.
- Strong problem-solving and analytical skills.
- Excellent communication skills, verbal, written, and interpersonal.
- Proficiency in MS Outlook, Word, Excel, or similar systems.
- Ability to effectively work independently and in a team environment.
- Strong budget management skills.
- Strong presentation skills.
- Excellent customer service skills.
- Ability to work effectively with individuals from diverse communities and cultures.
- Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA .
Required Education
Bachelors degree.
Required Work Experience
- Ten (10) years of experience in admissions, enrollment, or student affairs.
- Five (5) years of supervisory responsibilities.

Work Hours
Typical office hours are Monday through Friday from 8 am to 5 pm with extended hours as needed, especially during peak periods and attendance of events, to meet departmental goals. This will include some evenings and weekends.
Physical Demands
- Ability to lift up to 20 lbs of office supplies.
- Ability to actively engage in events for extended periods of time.
- Ability to regularly move about campus and event venues to actively engage faculty/staff/donors/guests/(potential/current) students, as well as attend meetings on and off campus.
