Purpose
Job Description
Under the general supervision of the Associate Director of Pediatrics Primary Care & Pediatrics Specialties, the Assistant Coordinating Manager is responsible for assisting with the daily operations of Pediatrics, Adolescents & Pediatrics Specialties. This includes coordinating and implementing projects and initiatives, managing patient inquiries and appointments, overseeing and streamlining pediatrics specialties, monitoring cash flow, ensuring compliance with policies, and providing administrative support through document creation and editing. The Assistant Coordinating Manager will support the clerical team and ensure smooth operations within the clinic.
Specific Duties And Responsibilities
The Assistant Coordinating Manager is charged with and responsible for:
- Assist with the daily coordination and implementation of projects and initiatives set forth by leadership.
- Receive incoming phone calls, take clear messages, and direct calls to appropriate personnel.
- Assist the clerical team with reminder calls and rescheduling of patients as needed.
- Monitor and assist with referral work queues to ensure proper handling within EPIC
- Direct staff/patient inquiries to the appropriate personnel.
- Manage Pediatrics Specialties, including scheduling appointments, addressing concerns, and answering inquiries.
- Collect and monitor data related to Pediatrics, Adolescents and Pediatrics Specialties, and manage associated phone calls and messages.
- Ensure all clerical team members close their cash drawers within EPIC.
- Compile financial closing reports and daily proof cover sheets.
- Create, edit, and format documents in Word, Excel, and PowerPoint as needed.
- Type letters, edit flyers, and other documents as required.
- Fax various documents as requested.
- Monitor lunch coverages to ensure the front desk clerical area is adequately covered.
- Perform start-of-day duties to ensure clinic readiness by submitting a weekly checklist.
- Perform end-of-day duties to ensure proper closure of clinic operations by submitting a weekly checklist.
- Review monthly Pediatrics and Adolescents to ensure an effective patient workflow.
- Make observations during two rounds through the pediatrics and adolescent areas each day, one in the morning and one in the afternoon to ensure clinic readiness.
- Exercise the escalation workflow as required.
- Manage all specialty clinic patients to reschedule, confirm or cancel appointments for Pediatrics specialties, pediatrics and adolescents as needed.
- Provide administrative support to ensure an effective workflow.
- Ensure compliance with hospital policies as it pertains to patients and staff.
- Funnel any patient concerns to the appropriate provider.
- Perform other duties and special assignments as needed to support the operations of Pediatrics, Adolescents, and Pediatrics Specialties.
Minimum Qualifications
- A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
- A satisfactory combination of education, training and experience.
Department Preferences
- Competence in Epic Cadence, Omnipro, EPACES, insurance portals and Q-med (review MD history) functions is necessary.
- Exceptional customer service skills required
- Good organizational and time management skills required
