Purpose

Job Description

Under the general supervision Coordinating Manager, Ambulatory Care & Deputy Director, Ambulatory Care, with latitude for independent judgment and initiative, the Assistant Coordinating Manager position is responsible for the daily processing of patients into a variety of clinical services via Epic and other tasks as required.

Specific Duties And Responsibilities

The Assistant Coordinating Manager is charged with and responsible for:

  • Rotates to various services in Ambulatory Care and Radiology
  • Assists in advancing Press Ganey scores by treating all patients in a courteous and respectful manner with special regard to confidentiality.
  • Verifies insurance via EPIC, Omnipro, EPACES, insurance portals, telephone or fax.
  • Provide patients with appointments in Epic (when applicable) to all clinics as needed.
  • Educate patients on insurance, HHC Options and Managed Care policies of Coney Island Hospital.
  • If ineligible for insurance refers to financial counselor.
  • Obtains & coordinates patient prior authorization for outpatient services.
  • Process (open and close (where needed) visits for clinic sessions in Epic.
  • Determine and open/register/schedule appointments as confidential when required.
  • Determine use of language line when necessary.
  • Appropriately direct patients to other hospital services as needed.
  • Full Registration through a comprehensive interview to obtain demographics, financial and insurance information to determine payer for Outpatient Services. Functions include, but are not limited to, demographic updates, Advance Directives, PCP verification/update and obtaining of patient consents, completion of MSPQ. Scan obtained documents and identification into EPIC.
  • Scanning all referral related documentation into Epic.
  • Attend education sessions and demonstrate capability to provide technical expertise/support to maintain proficiency of personnel.
  • Demonstrate proficiency in back-up manual Registration and Scheduling systems for use during IT systems downtime.
  • Pre-Registration for following day.
  • Perform End of Day EPIC tasks.
  • Management of referral work queues for respective clinical areas
  • Provides Physician template management support
  • Assist with taking messages for Physicians as needed.
  • Courteously and properly handle or refer all calls received.
  • Collect all forms of payment as necessary.
  • Other duties as required.

Minimum Qualifications

  • A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, healthcare and medical /patient systems administration; or,
  • A satisfactory combination of education, training and experience.

Department Preferences

  • Competence in Epic Cadence, Omnipro, EPACES, insurance portals and Q-med (review MD history) functions is necessary.
  • Exceptional customer service skills required.
  • Good organizational and time management skills required.
