Administrative and Admissions Coordinator
St. Coletta of Greater Washington is a non-sectarian, nonprofit organization that supports individuals with intellectual disabilities, autism, and secondary disabilities. We are currently seeking an Administrative and for processing admissions paperwork as assigned, maintain multiple participant intake files, and ensuring the security of confidential participant records. Work includes coordinating program tours, data input, creating new files for incoming participants, accurately filing participant information, proper disposition of files of a former participant, and obtaining necessary authorization before processing the release of participant information or providing access to participant files. Oversee the completion of intake case notes and assessments
Examples of Essential Functions:
Supervise Receptionist, front desk, records, attendance, and transportation
Increase the number of participants for Day Habilitation, Career Exploration, Community Development, and Supported Employment
Coordinate Program tours and present the program to prospective participants and families
Attend transition and job fairs
Develop, implement, and maintain all application processing activities including preparation of participant applications data entry and maintenance of records
Establish priorities for work projects related to the application process and maintain statistical information on all aspects of the application, admission, and re-enrollment process (share participation percentage).
Complete and oversee the completion of intake case notes and assessments
Meet with Program Coordinators, Nurses, and Director to share prospective participants’ file
Monitor, distribute, and process petty cash; provide monthly reconciliation of available funds.
Qualifications:
Bachelor’s degree preferred with prior administrative experience related to technical administrative support work.
Provide program oversight in the absence of the Director
Promote the SCGW Adult Program in the community through public relations and marketing activities that include the design and distribution of written materials, (intake video, flyers, etc.)
Liaison, between Coordinator, DDA, Families, and CCS for self-directed
Gather data on activities of interest for program activities from other Providers, families, and former stakeholders (additional revenue)
Serve as Program investigator for allegations
Conduct orientation along with the Program Director
Coordinate with vendors for holiday and staff events
Conduct Program Assistant interviews
