Description:
- Seeking a seasoned Project Manager or Project Coordinator with strong administrative operations experience and a background in supporting C-level executives—not a traditional Executive Assistant.
- This role is best suited for professionals who have held titles such as Administrative Officer, Program Manager, Department Manager, or high-level Coordinator in large, complex environments such as academic medical centers or health systems.
- This position directly supports the Chief Operating Officer (COO) of Adult Services, who oversees several clinical departments and leads strategic growth initiatives.
- The successful candidate will be instrumental in managing cross-functional projects, operational logistics, performance tracking, and executive-level coordination.
Project & Operations Management (40%)
- Oversee, plan, and administer administrative operations across Adult Services departments.
- Lead or participate in major committees and initiatives including:
- All-Campus Master Space Planning Committee
- Hospital Bed Capacity, Throughput & Discharge Task Force
- Project Blue Initiative
- Inpatient Revenue Cycle Optimization
- Emergency Preparedness & Workplace Violence Prevention
- Perform both short- and long-term planning and performance tracking across departments.
- Support budget planning and financial performance monitoring.
Strategic & Executive Support (30%)
- Provide high-level executive support to the COO, including confidential communications and complex meeting coordination.
- Serve as a liaison between the COO, leadership, internal departments, and external partners.
- Assist with strategic planning, cross-departmental initiatives, and key operational activities.
Administrative & HR Coordination (30%)
- Manage onboarding, position requests, and HR/payroll-related documentation.
- Coordinate contracts and grants processes.
- Oversee facilities, space logistics, and IT/equipment requests.
- Generate and summarize financial and HR reports.
- Perform recharge administration as needed.
Qualifications:
- 5+ years of progressive experience in project management within academic, clinical, or health system settings.
- Demonstrated experience in supporting C-level executives in a strategic capacity (not traditional EA tasks only).
- Strong understanding of university systems and operations, particularly in HR, finance, contracts, and grants.
- Advanced skills in project coordination, strategic planning, and cross-functional team collaboration.
- Proficiency with Microsoft Office Suite, MS Teams, and familiarity with Lean principles.
- Experience navigating institutional policies and protocols across complex, matrixed organizations.
- Thorough knowledge of university financial systems, HR policies, and administrative operations.
- Strong skills in communication, problem-solving, customer service, and strategic thinking.
- Ability to maintain confidentiality and exercise discretion in executive-level operations.
- Experience with event planning, risk management, and fund management.
- Solid understanding of contracts and grants guidelines and reporting tools.
