Office Coordinator
Do you want to work in a dynamic work environment where no day is ever the same as the next? In this role, your tasks will be diversified and you will be supporting our mission. Maintains an efficient front office environment by providing excellent customer service to patients, families, and staff while ensuring office duties are covered in a professional manner in accordance with mission set forth by Pediatric Partners. This position will also serve as facilities liaison, and will work closely with Director of Operations and Therapy Managers to ensure a well-maintained, efficient, and streamlined clinic.
Essential Job Functions
To perform this job successfully, an individual must be able to satisfactorily perform each essential function listed below:
- Greets patients and families in a friendly, professional manner ensuring patient needs are met
- Schedule/Reschedule therapy sessions
- Ensures patient insurance and demographic information is current for accurate billing and communication
- Provides administrative, clerical and phone support for the facility in a friendly and efficient manner
- Maintains strict patient confidentiality via records, conversations and EMR system (HIPAA)
- Uses EMR system to provide appropriate information to providers and institutions, including Release of Information requests
- EMR system reports – run report and gather information
- Collects payments as required for patient care and billing
- Enters work orders into system and organizes vendors and facilities maintenance
- Complete monthly facilities and quality improvement reports
- Provides a clean and safe environment for patients, families and employees including, yet not limited to tidying lobby and treatment areas, as well as complete superficial grounds maintenance
Education And Experience
- High school diploma or equivalent
- 2-3 years of experience in administrative support.
- An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
Other Skills And Abilities
- Strong attention to detail and organizational skills
- Ability to multi-task and meet deadlines
- Effective communication skills to manage relationships
- Knowledge of Microsoft programs including Word, Excel, and Outlook
- CPR Certification, required within 30 days of employment

- Current driver’s license and auto insurance
Physical Requirements
- Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
