Job Overview: We are looking for an exceptional Administrative Assistant who excels in a fast-paced, dynamic workplace. The ideal candidate will be a high-energy, professional individual with outstanding multitasking abilities and a proven track record of effective organization. This role is critical in ensuring smooth and efficient operations at our front desk and supporting our team.
Key Responsibilities:
Reception Duties: Greet and assist visitors, clients, and employees with a professional and friendly demeanor. Manage incoming calls and direct them to the appropriate departments or individuals.
Administrative Support: Provide comprehensive administrative support, including scheduling meetings, managing calendars, writing business letters, and handling mail.
Office Management: Oversee front office operations including ordering office supplies, managing office equipment, and maintaining a clean and organized work environment.
Multitasking: Effectively handle multiple tasks simultaneously, such as processing documents, preparing reports, and addressing various administrative needs as they arise.
Medical Records: Complete medical records requests, ensuring confidentiality and data integrity.
Coordination: Assist in coordinating office events, meetings, and travel arrangements as required.
Professionalism: Maintain a high level of professionalism in appearance and demeanor, representing the company positively to all visitors and staff.
Qualifications:
Experience: Proven experience as an administrative assistant or front office role in a fast-paced environment; medical records experience, preferred.
Skills: Excellent multitasking and organizational skills, with the ability to manage time effectively and prioritize tasks.
Energy and Professionalism: High energy, with a professional appearance and demeanor. Demonstrated ability to stay calm under pressure and maintain a positive attitude.
Communication: Strong verbal and written communication skills, with the ability to interact effectively with various stakeholders.
Technical Proficiency: Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other relevant office software; Kipu experience, preferred.
Education: High school diploma or equivalent required; Bachelor's degree preferred.
What We Offer:
Competitive salary $42,000 to $57,000 commensurate with experience.
