We are seeking a proactive and detail-oriented Building Admin Assistant to support the building management team in daily operations. This role requires a candidate who can make independent decisions, handle multiple tasks, and ensure the smooth operation of the building. The position will involve supporting the building administrator while also managing key administrative functions with some degree of autonomy.
Responsibilities:
Assist in the day-to-day management of building operations, including overseeing maintenance schedules and vendor coordination
Make decisions regarding routine tenant requests and complaints, directing them to the appropriate department when necessary
Prepare and submit reports on building status, tenant issues, or maintenance updates to the building manager
Manage office supplies and equipment, ensuring timely procurement and inventory tracking
Process maintenance or service requests and ensure timely follow-ups
Assist in decision-making regarding minor operational adjustments, such as work order prioritization and resource allocation
Handle basic tenant inquiries, making decisions based on building policies and available resources
Coordinate with other departments (e.g., security, maintenance) for smooth operation
Assist in managing building records, ensuring accurate documentation and compliance with regulations
Qualifications:
At least High School Graduate (college-level or degree holders are a plus)
At least 1 year of experience in an administrative or clerical role, preferably in building or facilities management
Strong problem-solving skills and ability to make decisions within the scope of the role
Knowledge of Microsoft Office (Word, Excel, Outlook) and basic office software
Ability to work independently and manage multiple tasks
Good communication and interpersonal skills
Organized, detail-oriented, and able to handle confidential information
Willingness to learn and take initiative in solving day-to-day operational issues
