Summary

Duties and Responsibilities: 1. Documentations Write and edit documents from letters to reports and instructional documents. Managing the correspondence between the office and external bodies. Create and maintain filing systems, both electronic and physical. Compiling, maintaining and updating company records. 2. Inventory Management Manages overall MDS inventory (demo, repairs, and stocks) / In coordination with Admin Warehouse and MDS Operation head. Updates MDS Sales team for inventory updates. Provides report to Division head for all inventory that are below maintaining balance. Safekeep and manages division common equipment (laptops, tools etc.). Coordinates with Purchasing Team for all division needs and process all documentary and electronic requirements. 3. Financial Monitoring Manage accounts (access accounts, sales contracts and warranty certificates). Assist Division Head in monitoring projects and collections. Prepares RFP, Liquidation as necessary. Perform Bookkeeping of expenses. 4. Logistics Process domestic and international logistic requirements (including importation process). Collate and distribute mail, documents, etc. Schedule and coordinate meeting and logistic needs of the team. Schedule appointments and maintain calendars (especially with demo units). Handles department’s office supplies, tools, equipment, documents and contracts. Operating office equipment including printers, copiers, and other equipments as necessary. 5. Others Assist Division head in other administrative matters. Educational Background and Work Experience: 1. Bachelor's Degree in any course; Business-related degree is a plus. 2. Fresh graduates are encouraged to apply. 3. At least 1 year of experience is a plus. Skills and Competencies Needed: 1. Excellent communication skills - both in written and oral, and has a strong collaborative character. 2. High organizational and prioritization skills. 3. Good decision-making and problem solving ability. 4. Technically inclined is an advantage.
