Position Title: Administrative Assistant (PT)
Reports To: Senior Director

Schedule: 20 to 25 hours per week (Core Hours: Monday–Friday, 9:00 AM–3:00 PM, 60 min break/day). Some weeks may be Monday-Thursday or Tuesday-Friday
Compensation: $15.75 to $19.50/hour (DOQ)
FSLA: Non-Exempt

Position Summary
CCEDC is seeking a dependable and detail-oriented Part-Time Administrative Assistant to support the day-to-day operations of our office. The ideal candidate will have a strong administrative background, be highly organized, and possess excellent communication and computer skills. This position provides essential support to staff, handles financial processing, and plays a key role in coordinating board meetings and other public-facing events. You will be the face of this organization greeting and talking to clients by phone or in person.
Preferred Qualifications
· Associate’s Degree in Business Administration, Office Technology. Accounting, or related field; or equivalent coursework and experience, preferred.
· 1-year previous professional office experience, required.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint), social media platforms, and desktop publishing tools.
· Familiarity with bookkeeping practices, accounts payable/receivable, and Salesforce.
· Demonstrated ability to plan and manage meetings and events.
· Strong written and verbal communication skills.
· Excellent organizational, time management, and interpersonal skills.
· Ability to maintain confidentiality.
· Self-motivated with a strong work ethic and a willingness to learn.
· Dependable, punctual, and professionally dressed.
Key Responsibilities
Office Administration
· As directed, oversee daily office operations and maintain a professional environment.
· Draft and format letters, emails, and internal communications.
· Order and manage office supplies and equipment maintenance.
· Pick up, review, and distribute incoming mail.
· Maintain records related to lease and maintenance agreements for office equipment.
· Greet and assist visitors, answer phone calls, and route inquiries appropriately.
· Track client requests and assist staff in follow-up or research, as needed.
· Provide coffee and refreshments for meetings and guests.
· Maintain calendar for conference room.
Financial Support
· Assist in recording deposits and maintaining financial records using accounting software.
· Verify and process invoices, bills, and financial statements.
· Coordinate delivery and pickup of financial documents with the organization’s accountant.
· Prepare and mail payments, including checks and tax-related items.
Board & Event Coordination
· Serve as point of contact for the Board of Directors and meeting attendees.
· Maintain RSVP lists, coordinate invitations, and distribute thank-you notes.
· Schedule and prepare for monthly board meetings, including meeting notices, agendas, and minutes.
· Coordinate catering and logistics for monthly board meetings and other events.
