We are looking for a professional Administrative Assistant to perform a variety of administrative and clerical duties. This role will support our leadership team, employees, and clients by handling daily administrative responsibilities and ensuring office operations run efficiently.
Key Responsibilities:
Serve as the first point of contact for internal and external communications
Answer and route phone calls in a professional and timely manner
Draft, format, and distribute correspondence including emails, memos, letters, and forms
Assist in the preparation of reports, presentations, and documentation
Maintain organized filing systems, contact lists, and office records
Coordinate meetings and appointments, and support scheduling needs
Ensure office equipment is maintained and supplies are stocked
Submit and track expense reports and invoices
Provide support to visitors and team members as needed
Help update and enforce office policies and procedures
Requirements
Qualifications:
Proven experience as an Administrative Assistant or similar role
Proficiency with Microsoft Office Suite (especially Excel, Outlook, and PowerPoint)
Familiarity with office management systems and procedures
Excellent organizational, time management, and multitasking skills
Strong written and verbal communication abilities
High attention to detail and problem-solving aptitude
Ability to handle confidential information with integrity
Experience in the construction, petroleum, or related industries is a plus
