In support of the university’s mission and objectives, the Administrative Assistant and Project Coordinator provides administrative support to the Dean of the School of Nursing and project and event coordination for the School of Nursing.
Essential Functions
Administrative and Project Support:
Provides administrative support to the Dean, including calendar management, meeting scheduling and coordinating travel arrangements.
Drafts and edits correspondence and reports on behalf of the Dean.
Creates agendas and records minutes at faculty meetings while ensuring confidentiality.
Collaborates with the Dean and Nursing Coordinator to compile data for accreditation and regulatory reporting.
Develops surveys as required by CCNE accreditation standards for program evaluation purposes.
Maintains organized, confidential filing systems for both paper and electronic files.
Serves as a liaison to internal and external constituents, including the Advisory Board, vendors, and other constituents on behalf of the Dean.
Department and Event Coordination:
Oversees daily front office operations and serves as the initial point of contact for students, faculty, staff, and visitors.
Leads the planning and logistics for School of Nursing events such as the Pinning Ceremony, Commitment Ceremony, and Hooding Ceremony.
Coordinates faculty recruitment activities, including interview scheduling and onboarding support, ensuring timely and accurate completion of records.
Manages classroom and event space reservations and oversees the ordering of office and program supplies.
Submits maintenance requests and monitors school facilities to ensure cleanliness, safety, and organization.
Budget Coordination:
Assists the Dean with budget planning, monitoring, and reporting by maintaining accurate and up-to-date financial records
Tracks faculty use of professional development funds and maintains accurate records of expenditures.
Processes requisitions and payments for supplies, equipment, and other related items as needed with accuracy and promptness.
Communication:
Leads the creation of marketing materials for the School of Nursing’s academic programs.
Creates nursing newsletter(s) for distribution to constituents and alumni.
Creates invitations, programs and other related documents for events.
Supports the Dean with the development of professional presentations, talking points, and visual content.
Manages and updates the School of Nursing’s website, highlighting faculty achievements, student outcomes, and new initiatives.
Qualifications
Education:
Post high school training required; Bachelor's degree preferred, or equivalent experience
Experience:
3+ years of experience in administrative and project support. Experience in business management, hospitality, and communications, preferred.
