POSITION PURPOSE

The Administrative and Operations Assistant is responsible for providing overall administrative and operational support to the Office of Career and Internship Services. Duties include, but are not limited to, writing, preparing and processing a variety of forms and reports; administering, and contributing to the office communications for both internal/external constituents and event management. Engaging in daily office operations, such as data entry, facilitating student inquiries, reporting, managing office emails, and providing a presence at the office’s reception desk; assisting with special projects; and performing other job-related duties as assigned.

SALARY RANGE: Full-time; $23.00 - $25.00/Hour

Essential Functions And Basic Duties

  • Manage front desk operations in the absence of Career Peers, including but not limited to, greeting students, faculty/staff, employers, alumni, and guests to CIS, answering phones, relaying messages, assisting with appointments, and scheduling meetings.
  • Handle and direct all incoming inquiries to the office including oversight of the department email.
  • Assist in management and coordination of student worker schedules and work projects.
  • Assist with logistics for in-person and virtual student events, including open houses, admissions sessions, and panels. Tasks include scheduling, owning the event calendar, updating scripts and presentations, and providing event support, including potential moderation.
  • Ensure procurement and purchasing procedures are followed including submission, tracking, and reconciliation and budgets are managed accordingly. Support operations projects and needs, including but not limited to purchasing supplies, maintaining and enhancing office environment, etc.
  • Responsible for managing content and email within LIM’s career management system, Handshake, and course management system, Canvas, to deliver results in student and employer participation within programs and increased awareness within the campus.
  • Assist in recording, tracking, and reporting on data pertaining to staff activity (e.g., time off requests, appointments completed, etc.), student activity (e.g., Handshake usage), and other important metrics.
  • Support the office with the development and design of newsletters, Career Guides/Manuals (i.e., Career Guidebook), posters, handouts, and other marketing collateral, in collaboration with the College Marketing & Communications office, as necessary.
  • Assist in the maintenance and updates of the office calendar and other communication avenues, with target information for students, employers, parents, alumni, and LIM faculty/staff, as needed.
  • Support the Internship Coordinator with employer outreach, including communication and relationship management, as well as overseeing Handshake administration and job/internship postings.
  • Assist all CIS staff with special projects, as needed.
  • Participate in assigned Committees, division-wide meetings, and department staff meetings as well as “all hands on deck” events.
  • Assist the Career Coaches with tasks such as resume reviews, pitch presentations and basic career coaching, with training provided.
  • Support department projects through data collection, reporting, and analysis in Excel, including VLOOKUPs and other functions to organize and interpret data effectively for team initiatives.
  • Perform other duties as assigned.


Qualifications

EDUCATION/CERTIFICATION:

Bachelor’s degree strongly preferred.

REQUIRED KNOWLEDGE:

Demonstrable ability to work successfully with diverse populations; ability to manage multiple projects simultaneously; a high level of proficiency in the use of MS Word and Excel, and design software, i.e. Adobe Creative Suite and Canva; a high level of proficiency with statistical analysis

Familiarity with career management systems, i.e. Handshake is a plus; and course management systems, i.e. Canvas. Experience working successfully in a higher education setting and event management.

EXPERIENCE REQUIRED:

1-3 years’ experience working in a student support function or administrative support within a higher education or similar setting.

SKILLS/ABILITIES:

Excellent interpersonal and public relations skills. Solid analytical, creative, and problem-solving skills. Strong customer service skills. Ability to work well independently and as part of a team. Experience with Adobe Connect is a plus.
