We are seeking a dedicated and detail-oriented Collections Clerk/Administrator to join our team on a permanent, part-time basis (3 days a week). Reporting to the Manager of Internal Accounting, you will play a vital role in efficiently recovering outstanding debts and overdue payments from our clients, while also fostering strong relationships and promoting our firm's quality standards.

Reports to: Manager, Internal Accounting


Purpose of Role: To recover outstanding debts and overdue payments from clients in a timely manner and make collection arrangements for delinquent accounts


Responsibilities

  • Process client payments and occasionally prepare bank deposits
  • Review client statements monthly to ensure there are no discrepancies
  • Analyze A/R and process adjustments as required
  • Investigate and resolve A/R queries from clients, partners and senior team members
  • Notify clients of overdue payments and accounts by telephone, mail, and registered mail, and continue the notification process if reply is not received
  • Make recommendations to management regarding third party collection
  • Establish delinquent accounts and prepare payment plans
  • Work with collection agency/lawyer on difficult accounts
  • Actively supports and participates in firm wide initiatives
  • Participates in the firm’s Team Development and Performance Management Program
  • Promotes the firm’s Quality Control Standards


Qualifications

  • Accounts receivable and collections experience - minimum 2-3 years
  • Excellent client service skills
  • Knowledge of the Debt Collection Act is an asset
  • Strong IT skills - advanced MS Office skills, plus ability to learn in-house software
  • Solid analytical capabilities
  • Excellent communication skills both oral and written
  • Strong interpersonal and relationship building skills
  • Strong organizational skills as it relates to documentation and deadlines
  • An understanding of basic bookkeeping is an asset



The salary range for this position is $25 to $30/hour. Individual salaries within this range will be dependent upon skills, experience, and qualifications.
