Summary

The Accounts Payable Associate is responsible for accurately entering vendor bills, reconciling purchase receipts, processing check runs, and maintaining vendor records. This position also provides administrative support, including handling mail, ordering office supplies, and ensuring a tidy office environment.


Key Responsibilities:

  • Enter vendor bills daily and upload supporting documentation to the appropriate system or location
  • Track and send vendor bill approval requests
  • Respond to vendor inquiries and reconcile vendor statements
  • Prepare and execute weekly check runs, including backup documentation
  • Set up and maintain vendor accounts, ensuring W-9s, billing addresses, and other records are accurate
  • Prepare expense reports for senior management as needed
  • Run weekly accounts payable reports for management approval
  • Assist Controller and SVP of Finance with ad hoc accounting projects
  • Retrieve and route voicemail messages
  • Receive, sort, and distribute incoming mail and publications
  • Maintain printers and fax machines, including troubleshooting and service requests
  • Order and stock office and kitchen supplies, maintaining an organized workspace


Required Skills & Experience:

  • Previous accounts payable experience required
  • Basic understanding of general ledger functions
  • Proficiency in Microsoft Office, especially Outlook and Excel (formulas, data organization)
  • Experience with NetSuite or similar cloud-based ERP systems preferred
  • Strong multitasking skills and the ability to meet deadlines
  • Excellent verbal and written communication
  • Demonstrates accountability and reliability in completing tasks
  • Two years of related experience in a professional office or accounting environment preferred


Physical Demands & Work Environment:

  • Frequent sitting, walking, standing, and hand manipulation
  • Occasional bending, squatting, climbing, and lifting up to 25 lbs
  • Standard office environment with computer and office equipment usage
