Job Title: Administrative Assistant (Non-Profit | Accounting Support)

As an Administrative Assistant in our mission-driven non-profit organization, you’ll play a key role in keeping our daily operations running smoothly while also supporting basic accounting functions. With your 3+ years of administrative experience—and some hands-on familiarity with accounting processes—you’ll be the go-to person for ensuring our office stays organized, professional, and efficient.

You’re someone who thrives in a supportive role, juggling calendars, managing files, preparing reports, and communicating clearly with internal teams and external stakeholders. In this position, you’ll assist with processing invoices, tracking expenses, and maintaining financial records, helping our finance team stay on top of essential tasks.

Your background in the non-profit space means you understand the importance of compliance, discretion, and mission alignment. You’re tech-savvy, detail-oriented, and dependable—and you know how to prioritize in a fast-paced environment without losing sight of the people behind the mission.


Key Responsibilities:

  • Manage daily administrative operations including scheduling, data entry, and correspondence
  • Assist with accounts payable/receivable, invoice processing, and expense tracking
  • Support the preparation of financial reports and documentation for audits or grant submissions
  • Maintain organized filing systems for both digital and paper records
  • Coordinate meetings, take minutes, and support internal communication
  • Provide general office support including ordering supplies and managing vendor relationships
  • Serve as a liaison between administrative and finance departments


You’re a great fit if you:

  • Have at least 3 years of administrative experience, preferably in the non-profit sector
  • Possess basic accounting knowledge and experience using accounting software (e.g., QuickBooks, Sage, or similar)
  • Are proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new systems
  • Communicate clearly and professionally, both in writing and verbally
  • Are organized, self-motivated, and able to handle confidential information with care
