Position Summary

Reporting to the Dry Bulk Manager, the Account Rep I position for Georgia Kaolin Terminals handles all office duties required for production at this facility. Scope of duties include all record keeping, all data entry, customer service, and all general office needs. Also, works closely with General Foreman and Shift Foreman to ensure all customer and operational needs are met daily.

JOB EXPECTATIONS/DUTIES

Data Entry

  • Key railroad waybills, order and spot railcars.
  • Key daily bag discharges.
  • Key vessel orders, prepare folders and at completion of vessel adjust inventory, prepare reports and send to customers.
  • Prepare Dockage Bills for all vessels that call the GKT berth.
  • Key bagging orders in Access for warehouse paperwork, in Excel spreadsheet for customer comparisons and in Excel Container spreadsheet per customer for billing purposes.
  • Check first receival dates in NAVIS weekly and dispatch orders once bagging is complete according to trucker assigned to pull that order.
  • Key all container paperwork daily, close orders and send reports once all containers are loaded.
  • Key bag inventories weekly for billing purposes.

Printing

  • Print and distribute daily reports and bagging tickets.
  • Print Bills of Lading for outbound orders.
  • Print and make copies of placards in Word for cars to be bagged.
  • Prepare, email and print weekly Marine Schedule.

Verification

  • Confirm railcar numbers and customer grades are correct on Track Check (daily railcar receipt report) from Master Railcar Report, record discharges and balance inventory daily between computer and handwritten records.
  • Run and confirm inventory for Weekly Reports.
  • Release discharged cars in Access.
  • Confirm customer bag orders on the Bag Order Worksheet are turned in correctly based on Grade Package Inventory Report.
  • Provide constant contact (via phone and/or email) with Trucking Dispatchers to ensure vessel loading cut-offs will be met.
  • Maintain open lines of communication and assist customers as needed by phone calls and emails.
  • Perform all filing as well as boxing up reports quarterly.
  • Prepare purchase orders for GKT accounts payable.
  • Inventory and order office supplies as needed.
  • Other duties as assigned

Qualifications

  • High School Diploma required
  • Highly developed sense of integrity and commitment to customer satisfaction
  • Ability to multi-task in a dynamic office environment without sacrificing focus, attention to detail, and/or accuracy
  • Motivated self-starter with the ability to perform with minimal supervision
  • Ability to communicate clearly and professionally, both verbally and in writing
  • Possess a strong work ethic, a team player attitude, good organization skills, and a commitment to safety
  • Basic understanding of marine terminal operations, logistics, warehousing, shipping paperwork, etc. preferred
  • Follow established procedures, recognize errors, and anticipate problems before they occur
  • Proficient in Microsoft Word, Excel, and Outlook and ability to use various Terminal Management Software applications
  • Intermediate computer and math skills required
